The quickest way to ruin it, and the way it usually starts, is with the subject line. The right way is to start where almost no one else does: the authentication layer, domain health and reputation. I tell you the full path, in order, with the why and the risks of each decision.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The invisible base: SPF, DKIM, DMARC and BIMI<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Before going into detail with these four concepts, remember that we are talking about technical standards of authentication and sender identity. If you are not into technology and this sounds too technical, don't worry, your role is not to configure it, but to validate with your IT team that it is done. Here is a high-level explanation of each of these elements:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>SPF<\/strong> is the list of who can send emails on behalf of your domain. So the recipients (Gmail, Outlook, Yahoo...) know that, for example, <a href=\"https:\/\/rotata.es\/en\/partner\/partner-hubspot-uk\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong><em>HubSpot<\/em><\/strong> <\/a>or SendGrid are authorised. If it's not right, your emails may look fake and end up in spam.<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>DKIM<\/strong> ensures that the message has not been tampered with along the way, which protects both your reputation and the recipient's security. Without DKIM, anyone could spoof your emails, and providers might start to distrust anything coming from your domain.<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>DMARC<\/strong> ties all this together: it makes sure that the domain visible to the user is really yours and establishes what to do if something goes wrong (allow, quarantine or reject the message). If DMARC is not configured, dubious messages can go unchecked, increasing the risk of impersonation or your emails ending up in spam folders.<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>BIMI<\/strong>, The branded email, on the other hand, adds a visual layer of trust: it displays your logo in the inbox, reinforcing brand recognition and the recipient's perceived safety. This is especially useful in branded campaigns or newsletters, where visual recognition drives openness and trust.<\/li>\n\n\n\n<li><\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong><em>It is very important to note that these technical aspects are not an added value, they are essential requirements for it to make sense to start sending mailings.<\/em><\/strong>. If SPF\/DKIM\/DMARC don't line up, don't continue, you will only get B2B emails ending up in spam, it is better to delay one day than to lose the reputation of the domain for weeks. Talk to your IT team and make sure everything is working properly.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Prepare the domain and protect your reputation<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Before sending your first campaign, make sure that the domain or subdomain you will be sending from is ready. Using a specific subdomain for campaigns has a clear advantage: it separates the reputation of the business mailing from the rest of the corporate communication, preventing a problem in your mailings from affecting the whole organisation. For example, you could use <strong>mail.yourcompany.com<\/strong> o <strong>news.yourcompany.com<\/strong> for your campaigns, while your regular mailing remains <strong>info@tuempresa.com<\/strong>; So if something goes wrong with your marketing mailings, your corporate mail is not affected. If you've just set it up, start small. Sending hundreds of emails from a newly created domain is like suddenly showing up at a party and starting shouting: no one will trust you. Start with active contacts, small, consistent mailings, and build up gradually. This way, filters learn that you are a legitimate sender.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, if you launch a new company newsletter, you could start by sending it only to your internal team and a few trusted customers. When you see that everything is working well - the emails arrive, are opened and read - you gradually expand to larger lists. That way, the server learns to trust your domain and you gain confidence that everything is working properly before scaling up.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Cleanliness and quality of the database<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Your database is the fuel of email marketing, but if it's dirty, the engine stops. Before each mailing, check that your contacts are current, that the addresses are not duplicated or misspelled and that no one has been added without their consent. Think that sending to someone who is not expecting you is like showing up uninvited: they may open the door, but no one can guarantee that your visit will be welcome.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, imagine you are running a campaign to introduce a new feature of your product. If your list includes old or inactive contacts, many will not remember who you are and will mark your email as spam. On the other hand, if you filter by those who interacted in the last three months or downloaded a recent resource, your open and response rates will skyrocket. A \u201creport spam\u201d hurts more than an \u201cunsubscribe\u201d, because in addition to losing the contact, it affects the reputation of your domain and may result in subsequent emails not even reaching the inbox.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>A single objective per campaign<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">When preparing your next campaign, choose one clear objective: either to get a meeting, to get a response, or to incentivise a download. Trying to do three things at once - meeting, demo and download - often confuses the reader and reduces effectiveness. Focus the entire message on that action: from the subject line and the preheader text that accompanies the subject line to the body of the email and the call to action (CTA). This way every part of the message pushes in the same direction and avoids wasting attention on distractions.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, if the objective is to elicit a conversation, the CTA could be \u201cWould a 15-minute call with me this week make sense? If the goal is to spark interest, you could propose \u201dI'll send you a one-page summary and let me know if it fits\u201c. In both cases, the advice is to keep it to one action per mailing; the others can be addressed in subsequent messages.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Writing for people (and for filters)<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The text of your emails should sound human, not advertising. This is where it's a good idea to have the article by <strong>HubSpot \u201cThe Ultimate List of Email Spam Trigger Words\u201d.\u201d<\/strong> (<a href=\"https:\/\/blog.hubspot.com\/blog\/tabid\/6307\/bid\/30684\/the-ultimate-list-of-email-spam-trigger-words.aspx\" target=\"_blank\" rel=\"noreferrer noopener\"><strong><em>https:\/\/blog.hubspot.com\/blog\/tabid\/6307\/bid\/30684\/the-ultimate-list-of-email-spam-trigger-words.aspx<\/em><\/strong><\/a>). Avoid words and tones that filters associate with spam: exaggerated urgencies, impossible promises or sales pitches. Instead of \u201cGREAT DISCOUNT!\u201d or \u201cUNIQUE OFFER!\u201d, explain what the reader gains and why it's worth their time. It's better to say \u201cI'm sharing a resource that can save you work\u201d than \u201cTake advantage today and multiply your results!.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The subject line is not meant to impress, but to be credible. Think of it as the sentence you would use if you had three seconds to convince someone to open your email. The preview text, on the other hand, should complement the message, not repeat it. For example, if the subject line is \u201cHow to reduce the time of your campaigns without spending more\u201d, the preview text can add context: \u201cI'll tell you the three most time-saving automations\u201d. If you promise something in the subject line, make sure you deliver it in the body - filters and readers spot inconsistency quickly.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Personalise with meaning<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Personalisation is not about putting names in brackets. It's about showing you know who you're talking to. If you're writing to a marketing manager, mention a challenge you know her team is facing or a relevant industry insight, such as difficulties integrating new tools or measuring the return on a campaign. For example, you can write something as simple as: \u201cI've seen that your team is working with several automation platforms; we've just helped other companies in the industry simplify that process. But don't overdo it: using private or excessive information generates rejection. Good personalisation is personalisation that provides context, not invasive personalisation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Design a sequence that breathes<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Not everything is decided with a single mailing. Effective campaigns combine several messages spaced out and, above all, different channels. For example, the first email can introduce the proposal, the second can go into a benefit in more detail, and the third can invite you to chat or schedule a meeting. In the meantime, you can reinforce the message on other fronts: an interaction on LinkedIn to thank a post or comment on something relevant, followed by a short call to close the email conversation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Imagine you send a first email with a useful resource, a few days later you connect on LinkedIn and thank them for their interest, and finally you make a call to offer to answer questions. That combination keeps the conversation alive without being pushy and creates a more natural relationship. In short, a good sequence breathes and flows between channels, like a conversation that picks up at different times.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Assess what matters<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Measuring matters as much as sending. Opens tell you who saw you, but responses and conversions tell you who really believed you. Measure everything that connects to business: delivery rates, opens, clicks, responses, conversions and meetings scheduled. Each metric tells a different story. For example, a low delivery rate may indicate reputation issues or technical set-up errors; a high open rate with few responses suggests that the subject line appeals, but the content is not compelling; a low click-through rate may reveal a lack of clarity in the call to action; and a low positive response rate will tell you that perhaps the message is not reaching the right audience.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To improve results, review reports analytically: try different subject lines and preview texts, vary the sending time or day of the week, and experiment with different lengths and tones. Document what you learn from each campaign, because patterns of behaviour repeat themselves and anticipating them gives you an advantage. Remember that data is not the end, but the map: it shows you where to go and which paths to avoid.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Ethics and perseverance: the true differentiator<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Email marketing is not about finding the trick, it's about building trust. Don't exaggerate results, don't force false urgencies, don't disguise promotions as exclusives. In the long run, contacts who trust you open, read and respond more. Remember that impeccable authentication, a clean base, honest messaging and human cadence are the combination that really builds brand and pipeline.
